When to Change a Whole-House Sediment Filter on Well Water
Use a model-specific pressure-and-flow record to decide when a well-water sediment cartridge is loaded—and when low pressure points elsewhere.
The short answer
Change a replaceable sediment cartridge when its manual's time, gallon, alarm, or pressure-drop trigger is reached—whichever comes first. Record the housing and cartridge model, baseline inlet and outlet pressure under the same flow, current differential, sediment load, gallons or demand, bypass state, and leak check. Do not apply a cartridge rule to a backwashing media tank, or treat low pressure as proof the filter is clogged.When to change a whole-house sediment filter on well water
Change a replaceable whole-house sediment cartridge when the first applicable trigger is reached: the exact manual’s time limit, rated gallon capacity, indicator or alarm, or model-specific pressure/flow trigger. For a well-water cartridge, the practical homeowner trigger is a repeatable increase in differential pressure or loss of flow under the same demand—provided the filter is actually the restriction. Record the housing and cartridge model, baseline inlet and outlet pressure, current pressure drop, flow condition, sediment load, cartridge rating and capacity, installation date, household demand, bypass state, and post-change leak check.
Do not promise “every three months” or “every six months” for an unidentified system. A 3M AP800 manual says its disposable cartridge must be replaced every six months or sooner, but also says life depends on local water conditions and water volume and that an earlier pressure drop can justify replacement. That is a rule for the AP800 system and its documented cartridge family, not a national well-water interval. 3M’s AP800 manual also lists different micron ratings, sediment-retention capacities, and maximum flows for individual cartridges.
The decision is therefore two questions, in order:
- Is this a replaceable cartridge housing, or a backwashing/media system?
- If it is a cartridge housing, is the filter causing the observed restriction under a comparable flow?
If either answer is unknown, document the condition and stop short of changing pump settings, pressure-switch settings, tank precharge, or buying a larger system.
1. Use this decision rule instead of a calendar
The record below is designed to be filled out at installation, inspection, and replacement. The numbers in the example are observations, not universal limits.

The calculation
If the inlet gauge reads 58 psi and the outlet gauge reads 51 psi while one shower is running, the observed differential is:
58 psi − 51 psi = 7 psi
If the same test after a new cartridge reads 58 psi at the inlet and 56 psi at the outlet, the observed differential is 2 psi. The change is 5 psi under those two test conditions. It is useful evidence that the cartridge contributed restriction, but it does not prove that 7 psi is the replacement limit for your equipment.
If you measure flow with a known container, use:
flow in gallons per minute = collected gallons ÷ collection minutes
A 2-gallon container filled in 30 seconds represents 4 gallons per minute under that fixture and test condition. Record whether the filter was in service or bypass, whether the pump was running, and whether another fixture was open. A faucet test is not a well-pump capacity test.
2. First classify the treatment stage
The most common mistake is applying a cartridge rule to a system that does not have a disposable sediment cartridge. A whole-house sediment stage may be:
- a clear or opaque housing with a replaceable pleated, spun, melt-blown, or other cartridge;
- a large cartridge tank with a replaceable element and pressure gauges;
- a backwashing media tank with a control head, drain connection, and service/backwash or regeneration positions; or
- one stage in a larger train that also includes iron, manganese, carbon, softening, neutralizing, ultraviolet, or reverse-osmosis equipment.
A backwashing tank may collect sediment or treat another water-quality problem, but its maintenance decision is a backwash, regeneration, media, valve, drain-flow, or water-quality decision—not “remove the cartridge when it looks dirty.” Pentair’s Fleck 5600 filter-valve specification identifies the equipment as a downflow backwash filter and separately lists continuous service flow and maximum backwash flow. Its 5600 backwash-filter manual describes a mineral tank, an in-service position, a backwash position, drain flow, and a backwash schedule. Those are configuration-specific operating requirements.
If you see a control head with a digital display or timer, a drain line, a brine line, a media tank, or labels such as “backwash,” “regeneration,” “rinse,” or “service,” do not open the tank or change the schedule based on a cartridge article. Record the control-head model, tank label, media name if documented, drain location, programmed cycle, and any bypass position. Ask the installer or a qualified water-treatment professional to interpret the media and flow requirement.
If you see a housing with a removable bowl, confirm that the cartridge is the sediment stage. A carbon cartridge can look like a sediment cartridge but has a different contaminant claim, capacity, flush requirement, and service decision. EPA explains that home devices remove different contaminants and that labels, instructions, performance, maintenance, and certification should be considered together in its home filtration facts. A cartridge that improves taste is not thereby a treatment for bacteria, nitrate, arsenic, or any other well-water concern.
Record the treatment train
Trace the pipe direction from the pressure tank toward the house, without operating unfamiliar valves. List each stage in order. For the sediment stage, capture:
- housing manufacturer and model;
- cartridge manufacturer, part number, nominal or absolute rating as printed, and capacity if stated;
- inlet and outlet port size if visible in the manual;
- date installed and date of last cartridge change;
- bypass and isolation valve positions;
- pressure-gauge locations and whether each gauge is before or after the housing;
- sediment color, texture, and approximate thickness on the used cartridge;
- the normal household demand used for readings;
- any water-quality event, well repair, construction, flooding, or change in taste, odor, color, or clarity; and
- the owner of the next action: homeowner, plumber, pump professional, water-treatment professional, or certified laboratory.
Do not infer a cartridge’s rating from its color, length, or marketing name. The 3M AP800 manual lists different cartridge options, including nominal 5-micron and 25-micron examples with different sediment-retention capacity and maximum-flow values. The 3M specification table is evidence that the model and part number belong in the record.
3. Establish a comparable pressure-and-flow baseline
Pressure-drop data only helps when the test conditions are described. A gauge reading taken with no water moving cannot be compared directly with a reading taken while a tub, shower, irrigation zone, and washing machine are all drawing water. GE Appliances says pressure drop across a whole-home filtration system varies with plumbing configuration, flow rate, and inlet pressure. It gives a typical maximum of 5–10 psi with a faucet wide open, but that is GE support guidance, not a universal limit for a well system. See GE’s whole-home filter pressure guidance.
A homeowner-safe measurement procedure
Use only exposed, accessible gauges and a normal fixture. Do not remove a housing, disconnect tubing, open a well, access a pump, or touch electrical controls to obtain a reading.
- Write the date, time, gauge location, cartridge status, bypass state, and the fixture that will create demand.
- Close or stop other water uses. Do not include irrigation unless irrigation is the specific repeatable demand you are studying.
- With the fixture off, record static pressure at the chosen gauge or gauges. A single pressure reading before the treatment stage cannot show pressure drop across the stage.
- Open the same fixture to the same practical position each time. If the manual specifies a flow, use that flow. Otherwise note the fixture and avoid pretending the test is laboratory-controlled.
- Record inlet and outlet pressure while water is flowing. Note whether the pump is running, cycling, or off at the moment of the reading.
- If safe and permitted by the equipment layout, repeat with a second demand such as a tub fill or two fixtures. Record each condition separately.
- If the gauges are not installed on both sides of the cartridge, record that limitation. Do not loosen a fitting to install one yourself on a pressurized well-water line.
- Close the fixture and record whether the system returns to its previous pressure, whether the pump cycles unusually, and whether any leak or alarm appears.
EPA WaterSense describes checking household service pressure with a hose-bibb gauge after water-using fixtures are turned off and says fixtures operate best with incoming service pressure between 45 and 60 psi. Use EPA’s home-maintenance guidance as context for a service-pressure observation; it is not permission to adjust a well pressure switch or tank precharge.
What the trend means
An increasing inlet-to-outlet differential at the same demand supports a loaded or restrictive treatment stage. A falling outlet pressure with a stable inlet pressure is more informative than a low reading at both gauges. If both inlet and outlet pressure fall together, the filter may not be the primary restriction; the cause could be pump output, well supply, a closed valve, a clogged screen upstream, a pressure-tank or pressure-switch issue, a leak, or simultaneous demand.
An apparent improvement after placing the filter in bypass is useful but not conclusive if bypass also changes valve position, pipe path, or demand. Log the bypass state and repeat the same fixture test. Never leave an unknown or health-relevant treatment system bypassed simply because the pressure improves; first determine what the stage is intended to remove and what the water test says.
4. Choose the cartridge trigger from the exact manual
Use the earliest applicable trigger from the manufacturer’s documentation, but preserve the scope of the example. The decision is not “the internet says six months.” It is “this model’s manual says this cartridge, under these conditions, has this trigger.”
Calendar and condition can coexist
The 3M AP800 manual says the disposable cartridge must be replaced every six months or sooner. The same section says filter life depends on local water conditions and volume used, and that an earlier drop in water pressure can justify replacement. It also gives a specific shutdown, pressure-relief, O-ring, leak-check, and flush procedure. Read the full AP800 replacement instructions if you own that housing; do not generalize its six-month statement to an unknown filter.
Pentair’s Everpure guidance shows another kind of trigger. For a named prefilter example, it says to change every three months or when the outlet gauge reads 15–20 psi lower than the new-filter reading, and it says to check the gauge while equipment is calling for water. It also says cartridges may need replacement when dirty, flow or pressure declines, or an unusual taste occurs. For its submicron cartridges, Pentair lists the first of the label gallon rating, six months, or a red-zone gauge indication. These examples are from Pentair’s foodservice FAQ, not a residential well-water promise.
The useful pattern is broader than either company’s number:
Replace or service when the earliest documented trigger occurs:
- the manual’s maximum time or operating-hour limit;
- the cartridge’s printed gallon capacity, when the actual cartridge and demand can be identified;
- an indicator, alarm, or gauge zone specified by the manufacturer;
- a repeatable pressure-drop or flow-loss trigger specified for that model;
- sediment loading that blocks the intended flow or visibly reaches the manufacturer’s stated condition; or
- a water-quality event or contaminant result that requires immediate professional response or a different treatment action.
If no exact manual or trigger exists, choose a temporary inspection cadence, not a made-up replacement interval. Record the date and seek the model manual, installer record, or qualified assessment.
Capacity is not the same as service life
A gallon rating is meaningful only if it belongs to the cartridge and contaminant claim you are using. Household gallons can be estimated from a meter, treatment-system totalizer, or a documented demand estimate, but that estimate does not establish that the cartridge has reached its tested capacity. Sediment loading can restrict flow before a rated gallon capacity, while an adsorption cartridge can reach a contaminant capacity without looking dramatically dirty. EPA says activated-carbon filters are designed for a specified amount of water and can become clogged and ineffective after that amount; follow the EPA fact sheet’s maintenance and performance guidance.
For a sediment cartridge, log both the physical load and the demand history. “Installed 120 days ago” tells less than “installed 120 days ago, 2,400 gallons recorded, pressure differential rose from 2 to 9 psi at 4 gpm, cartridge loaded with orange-brown sediment, replacement part AP810.” The latter can be compared with the next cartridge and taken to a water professional.
5. Replace a cartridge only through a safe, model-specific procedure
Cartridge replacement is a normal homeowner task only when the housing has a working isolation and pressure-relief method, the part is identified, and the manual makes the work appropriate. A whole-house filter is connected to a pressurized potable-water line; a mistake can cause flooding, a cracked housing, contamination, or a sudden loss of water.
Before opening anything
Confirm the following:
- the housing model and cartridge part number;
- the manual’s shutoff and pressure-relief sequence;
- the inlet and outlet direction;
- the location of the main or filter isolation valve;
- whether hot-water or fuel/electric equipment needs protection when water is shut off;
- the replacement O-ring or seal requirement;
- the manufacturer’s flush volume; and
- a dry towel, container, light, and a way to observe the housing after restart.
If the housing is cracked, swollen, stuck, unsupported, leaking, installed without a safe shutoff, or still pressurized after the manual’s relief step, stop. Do not force it with a pipe wrench. Have a qualified plumber or water-treatment professional service it.
General sequence, subject to the manual
The exact equipment manual controls, but a safe record should show that water was isolated, pressure was relieved, the old part was removed, seals were inspected, the correct cartridge was installed, water was restored slowly, leaks were checked, and the required flush was completed. The 3M AP800 manual specifically says to turn off the supply, close the downstream shutoff, relieve pressure at the vent valve, clean and lubricate the O-ring, use only the supplied wrench with a light snug fit, restore water slowly, check for leaks, and flush at least 10.5 gallons. Its cartridge-replacement section is the controlling reference for that product family.
Do not assume that “hand tight” or “one quarter turn” means the same thing across housings. Pentair’s Everpure instructions also call for shutting off the inlet, relieving pressure, inspecting the O-ring, aligning the replacement cartridge, restoring water slowly, checking for leaks, and flushing according to the label. The Pentair procedure applies to the named Everpure E-Series prefilter and cartridge system.
After service, record:

Safety boundary
Do not open energized controls, test live wiring, open the well, pull a pump, enter a confined space, or manipulate a pressure tank, pressure switch, relief valve, or other pressurized equipment as a troubleshooting experiment. Do not adjust a pump setting or tank precharge to compensate for a filter symptom. Those tasks belong to a qualified professional unless the exact manufacturer procedure clearly makes the specific action safe for the homeowner. A cartridge housing should never be loosened while pressurized.
6. Separate a clogged cartridge from a well or pump problem
The decision surface is most valuable when it prevents a needless cartridge change—or prevents a homeowner from blaming the filter for a system problem. Use the matrix as a triage record, not as a substitute for diagnosis.

Why bypass is not a final diagnosis
Bypass is a useful comparison only if you know what it bypasses and can safely return the system to service. A bypass that improves flow shows that the treatment path contributes to restriction; it does not identify whether the cartridge, housing, valve, gauge, or adjacent stage is responsible. If the bypass path removes treatment needed for drinking water, do not leave it that way while waiting for a calendar replacement.
Do not repeatedly replace cartridges to chase a problem that returns immediately. A sudden increase in sediment may follow construction, a change in groundwater level, a flood, a well repair, a damaged well component, or an upstream screen problem. The cartridge is the visible collector, not necessarily the source. Keep the old cartridge or take photographs, note the sediment color and texture without treating that observation as an identification, and bring the record to a professional.
7. Tie the maintenance record to well-water safety
A sediment cartridge is usually a particulate-control stage. It is not a general-purpose safety device. EPA says private-well owners should test annually for total coliform bacteria, nitrates, total dissolved solids, and pH, use certified drinking-water laboratories, and test immediately after flooding, significant nearby changes, well-system repair or replacement, or a change in water quality. Add the following to the maintenance record after each relevant test:
- sample location: raw well water, before treatment, after treatment, or drinking tap;
- laboratory and certification status;
- collection date and test panel;
- result, unit, reporting limit, and any comparison provided by the laboratory;
- the treatment stage and exact contaminant-reduction claim intended to address the result; and
- the next action, including retest, temporary alternate water, professional treatment, or health-department contact.
If a test identifies a contaminant above a health standard, do not wait for the cartridge’s next service date. EPA directs homeowners to contact the public health department for specific steps and to have the well retested to confirm the contaminant and concentration. A sediment cartridge may reduce visible particles while leaving dissolved contaminants or microorganisms unaffected. EPA’s filtration facts explains that different devices remove different contaminant classes and that the product label and instructions must be checked.
After flooding or a suspected well emergency, stay away from a flooded pump because of electric-shock risk and follow health-authority and well-professional instructions. EPA’s private-well emergency guidance says not to drink or wash from a flooded well, to get assistance with cleaning and disinfection, and to seek advice if the water does not run clear after the pump is turned back on. A cartridge change is not an emergency-water-safety plan.
8. Keep a schedule that creates useful evidence
Use the cadence below to maintain the record. “Review” does not mean “replace.” The equipment manual, a measured trigger, an alarm, a water-quality event, or a qualified service plan may move the action earlier.

At the end of each cartridge cycle, compare four facts: days in service, gallons or household-demand proxy, starting and ending differential at the same test condition, and sediment load. If the differential rose while demand stayed comparable and the new cartridge restores the baseline, you have a defensible service record. If the cartridge was barely loaded and the pressure stayed low after replacement, stop treating the calendar as the diagnosis.
Bring this packet to a professional when the problem repeats:
- photos of the complete flow path and labels;
- the exact housing, cartridge, control-valve, pump, and pressure-tank models;
- the manual links or paper manuals;
- at least two comparable inlet/outlet readings and fixture conditions;
- flow measurements with the collection method;
- cartridge installation and removal dates;
- used-cartridge photos and sediment observations;
- bypass state and any changes in valves or settings;
- pump cycling, pressure recovery, leak, alarm, or well-repair observations; and
- certified-lab water results with sample locations.
The record gives the professional a starting point without asking them to guess whether the restriction is the cartridge, the treatment train, the well, or the pump. That is the homeowner decision: change the cartridge when its documented trigger is reached and the filter is the measured restriction; otherwise preserve the evidence and investigate the system that could be supplying the restriction.
